The challenge

Capstone HME has spent over two decades serving hospice and PACE programs as a leading durable medical equipment provider. But their software was a ceiling, not a foundation. Leased off-the-shelf tools couldn't handle the clinical specificity hospice care demands: each patient requires precise documentation, delayed approvals were costing time that end-of-life patients don't have, and inventory systems weren't talking to each other cleanly.

The core tension was human. Capstone's customers are hospice providers whose clients are in the final chapter of their lives. Equipment delays create distress for families already managing grief. The software needed to be fast, clear, and frictionless – not an obstacle at the worst possible moment.

Generic SaaS couldn't be customized deeply enough to solve any of this. And Capstone didn't have an internal engineering team to build a way out.

How we approached it

VSP's recommendation was direct: start from scratch. Not a patchwork of integrations on top of existing tools, but a clean foundation built specifically for how Capstone operates.

The solution was an e-commerce-style platform where hospice care providers can select equipment, get required approvals, and arrange delivery through a mobile-friendly web interface that's built for clarity under emotional pressure. Every workflow was designed iteratively, with Capstone's team in the room.
